Frequently Asked Questions

Everything you need to know about QRAY’s QR code time clock.

What is QRAY and how does it work?

QRAY is a QR code time clock and workforce management app. A device at your workplace displays a single-use QR code that refreshes at short intervals, and employees scan it with the QRAY app on their own phone to clock in and out. Beyond the live QR, two more clock-in methods are available: a printed, GPS-verified fixed QR code you can post at the entrance, and a one-tap clock-in button for field teams that records the location. All data is stored securely in the cloud, and managers see attendance, schedules, and reports from a single dashboard in real time.

Do I need to buy a dedicated time clock or any other hardware?

No. QRAY needs zero dedicated hardware — no fingerprint scanners, badge readers, or proprietary clocks. With kiosk mode, any phone, tablet, or computer you already own becomes a fully featured time clock. The device displays the rotating QR code and employees scan it with the mobile app, saving you thousands in hardware costs.

Does QRAY collect fingerprints or biometric data? Is it privacy compliant?

No. QRAY uses a rotating QR code, with GPS verification on fixed-QR and button clock-ins — never fingerprints or face scans. Time clock systems that process biometric data carry serious legal risk under modern privacy laws, and collecting no biometric data avoids the strictest obligations. QR codes combined with GPS verification on fixed-QR and button clock-ins give you a solution that is both secure and privacy-friendly by design.

How do shift scheduling and automatic timesheets work?

QRAY includes flexible shift definitions, calendar-based staff assignment, and automatic conflict detection. Clock-in and clock-out times are matched to shifts automatically and timesheets are built in real time. Overtime, missing hours, late starts, and early leaves are all calculated for you. At the end of the month, earnings — overtime pay, advances and other deductions you enter — are calculated automatically under Türkiye's rules; tax and social-security contributions are not calculated.

How much does QRAY cost? Can small businesses use it too?

QRAY uses simple per-employee monthly pricing that scales with your headcount — no server setup, license fees, or hardware investment. Ready-made price tiers cover 25 to 1,000 employees (minimum 25), with custom quotes for larger teams, and with no time clock hardware to buy it is far more economical than traditional systems. Every account starts with a 14-day free trial; sign up on the signup page, verify your email, and your trial account is created automatically with login details sent to your inbox — no credit card required.

What is kiosk mode? Can I turn any device into a time clock terminal?

Kiosk mode turns any phone, tablet, or computer into a fixed time clock terminal. The device switches to full-screen kiosk mode and continuously displays the rotating QR code. Employees scan it with the QRAY app on their own phone to clock in and out. The live QR screen needs an internet connection; where there is none, a printed fixed QR code can be used (the scanning phone still needs internet access). Instead of an expensive time clock, even an old tablet is enough.

Can the QR code be copied? Can someone clock in for a coworker?

No. QRAY’s dynamic QR codes refresh automatically at short intervals and are single-use, so unlike static codes a scanned code cannot be reused. On fixed-QR clock-ins, GPS verification also rejects scans from outside the workplace; button clock-ins outside the area are flagged or, if you choose, blocked. This two-layer security (a dynamic QR code on screen; GPS on fixed-QR and button clock-ins) makes buddy punching effectively impossible.

Which industries is QRAY suitable for?

QRAY fits any business that needs to track employee attendance. In Türkiye it is used by companies in catering, restaurants, health-tourism clinics, and manufacturing. Thanks to its multi-tenant architecture, franchises and chains manage all their locations from a single dashboard.

How does GPS verification work?

You draw a geofence around each location or job site. When an employee clocks in or out with a fixed QR code or the clock-in button, the mobile app checks their GPS position against that boundary. Fixed-QR scans from outside it are rejected, and button clock-ins outside it are flagged or, if you choose, blocked — confirming the employee is genuinely on site. Location is read at clock-in and clock-out. Live location tracking is optional: the company switches it on with employees’ consent, it runs only during working hours, and location history is kept for 90 days.

How does leave management work? Can it track hourly time off too?

QRAY includes a full leave management module. Alongside daily leave types such as annual leave, sick leave, and unpaid leave, hourly time-off requests are also supported. Employees submit requests from the mobile app, and managers approve or decline from the web dashboard or their own app. Approved leave flows automatically into timesheets and pay calculations, and remaining balances are visible to both employees and managers in real time.

Which phones does the QRAY mobile app work on?

The QRAY app is free on both the App Store and Google Play, so it works on iOS (iPhone) and Android. After downloading the app and signing in with their Turkish national ID number (TC kimlik no) and password, employees can scan the QR code, request time off, view their shifts, and receive notifications.

Can I manage multiple locations or branches from one account?

Yes. QRAY’s multi-tenant architecture lets you control all your locations from a single dashboard. Each location gets its own kiosks, shift plans, and staff, and you can filter reports by location to compare them. Role-based access lets site managers run their own location while head office keeps full visibility.

Are QRAY records accepted as evidence in audits and disputes?

Yes. QRAY stores every clock-in and clock-out with a timestamp and device details (plus GPS coordinates for fixed-QR and button clock-ins) in tamper-resistant cloud records. Accurate, time-stamped records like these serve as strong evidence in wage disputes and audits.

Can I integrate QRAY with my payroll or accounting software?

You can export timesheets, overtime, and leave data to Excel/CSV and import them into your payroll or accounting software, so you do not have to re-key hours at the end of each pay period. There is no public API; tell us about the integration you need and we will consider it for our roadmap.

How long does setup take? Do I need technical knowledge?

Your account is ready in minutes. QRAY is fully cloud-based, so there is no server setup or technical infrastructure. You can add locations and employees and set up your first QR screen the same day, and the intuitive interface means any manager can run it without technical knowledge.

Does it keep working if the internet goes down?

No. Clocking in and out requires an internet connection — there is no offline mode. Where the live QR screen cannot get online, a printed fixed QR code can be used (the scanning phone still needs internet access).

What reports can I get from QRAY?

QRAY includes a comprehensive reporting module: daily, weekly, and monthly attendance reports, timesheets, overtime reports, late-start and early-leave statistics, leave usage, and detailed per-employee hours. The dashboard shows live statistics with charts; reports export to Excel/CSV, and leave forms and earnings statements can be printed.

Can employees see their own clock-in records?

Yes. Staff can view their own clock-ins, worked hours, overtime, and leave balances in the app, and submit time-off requests directly while tracking their status in real time. That transparency boosts employee satisfaction and cuts payroll disputes.

How is QRAY different from traditional fingerprint or card-based time clocks?

QRAY offers several advantages over traditional systems: zero hardware cost — no expensive fingerprint readers or card printing; no biometric data, so no privacy-law exposure; contactless and hygienic; and instant rollout with no devices to order or wiring to wait for. When you open a new location, the system is live within minutes.

Is my data secure? How is it protected?

QRAY stores your data on cloud servers protected with encrypted connections (TLS 1.3). Passwords are stored with bcrypt, every change is written to an audit log, and our support team can access your account only with your approval and for a limited time. Role-based access control means each user sees only the data within their permissions.
